Sage Intacct 2023 Release 2: The saga continues!

Sage Intacct’s second release of the year is here! Sage Intacct R2 2023.

The automatic update hit your screens on Friday 12th May, 2023, with even more new features and updates!

You may have seen the announcement on your Sage Intacct homepage, these are our top highlights!

Note: There are new functions in this release which require action to update user/role permissions. These are marked in our highlights as **New Permission. You can read more about them here.

Sage Intacct 2023 Release 2 – Our Top 10 Highlights

1. Correct errors with Edit Reversal Dates on posted payments!

We know mistakes can happen and we often see cases when a payment reversal has been made on the wrong date.

The good news is you can now edit the reversal date on posted payments to correct the date on which the reversal transaction posts to the GL.  Additionally, all changes made to reversal transactions are tracked in the audit trail.

What you need to do to configure the feature:

You will need to turn this new feature on by:

  • Going to Accounts Receivable/Setup Tab/Configuration
  • Select Enable Edit of reversal dates
  • **New Permission: Add the permission under ‘Posted payments: Edit reversal’
  • Select

Limitations:

Of courses there will be situations that will prevent you from editing a reversal date. These are:

  • You are at entity level trying to edit a top level payment
  • The period is closed
  • The Payment Group is closed
  • You are subscribed to the Contracts application

2. Increase Control by locking closed periods

Once your period figures are reported, do you want to make sure they don’t change? In 2023 R2 you can now go one step further than just closing the period, you can also lock the period. Allowing you to produce reports that you know will remain in agreement with your system.

What you need to do to configure the feature:

  • Go to the Configure General Ledger page (General LedgerSetup tab > Configuration).
  • In the Accounting settings section, under Transactions, select Enable closed statutory reporting periods to be locked.
  • **New Permission – Go to the General Ledger permissions page and assign users the Lock closed periods

To Lock the closed periods:

Go to General Ledger > All tab > Books > Lock closed periods.

  • If you’re at the top level, you can specify the entity or entity group for which you want to lock periods in the Entity or entity group If you do not specify anything in this field, periods are locked for all entities.
  • In the Lock closed statutory reporting periods up tofield, select a closed period to lock.

You can lock periods only if they are closed.

Select Save.

  • All periods up to and including the one you selected are locked.
  • You can unlock a period by locking the preceding period (for example, you can unlock 2022 by locking 2021). This is because all periods after the one you lock are unlocked.

3. Increase visibility and control for Employee users

All users including Employee users can now view all transaction types in order entry and purchasing, such as quotes, orders, invoices, shipping and returns, and assist business users to review and track transactions.

What you need to do to configure the feature:

**New Permissions – Edit the permissions for users and roles for each module as below

Order Entry

Enable the View all for Employee permission for Order Entry transactions:

When this permission is selected, an employee user has these additional capabilities on the Order Entry application menu (Order Entry > All tab):

Purchasing

For employee users, we added the View all for Employee permission for Purchasing transactions:

When this permission is selected and the Restrict employee user access to purchase documents configuration option is off, an employee user has these additional capabilities on the Purchasing application menu (Order Entry > All tab).

4. Reduce login issues with the User Locked Out Email

Improve understanding of login issue with the new ‘locked out email’. When a user is locked out, they will receive an email to explain what has caused them to become locked out.

Great for users who are new to the system and unsure of the security requirements and to help administrators manage login issues quickly and efficiently.

5. Save time by paying AP Invoices directly from the list screen in multi-currency companies

You can now pay individual AP purchase invoices directly from the AP purchase invoices list in companies where multiple currencies are enabled. Previously, this option was available for companies using a single currency only.

6. Improve navigation with supplier and customer list enhancements

Now there are even easier ways to access the supplier and customer records. When you drill into a supplier or customer name from the relevant list, the record opens in a new window.

You can still access a customer’s and suppliers relevant Ledger report by going to Accounts Receivable/Accounts Payable > All tab > Reports > AR/AP ledger. Select the customer/Supplier for both the From and To fields to filter results.

7. See more data from a bank feed transation

When the bank includes additional information in a bank transaction, we want you to be able to view this.

The option has been added to include even more columns on the Bank transaction list so that you are able to view even more information about your transactions.

New Fields Available

  • Payee ID
  • Payee address
  • Payee city/town
  • Payee state
  • Payee postal code
  • Category
  • Subcategory
  • Category ID
  • Extended description
  • Bank reference number

 What you need to do to configure the feature:

  • Simply ass a customer view on the bank transactions list page and choose the fields you want to see.

8. Apply credits in bulk via a CSV import

Last year Sage introduced the ability to import customer payments in bulk through the CSV import. Now you can use the same template to apply credits, AR Adjustments, negative AR Sales invoice credits and Inline credits.

Use the CSV import template to input payment and apply credit data, then import them into Intacct. You can import up to 5,000 lines per file.

Considerations before import:

  • Verify the import data before you upload to Intacct. You cannot bulk reverse the applied credits.
  • You can import payments for unique AR sales invoicenumber or adjustment number transactions only. If there are multiple AR sales invoices or adjustments with the same reference number, the import will be unsuccessful.

Best practice: Upload a single row first to test your import data. That way, you can make data corrections as needed before importing multiple rows.

9. Improve data visibility with role-based dashboards for service industry

Great News, for companies created using the Service Industry QuickStart template, this new release includes new dashboards available to help people in specific roles to get the information they need. There’s a new dashboard for each of the following roles:

  • AP manager
  • AR manager
  • CFO
  • Controller
  • Revenue department manager
  • Support department manager

Though the dashboards are designed for specific roles, any user with the right permissions can use them. You can install the dashboards from your dashboard library.

Before you use the new dashboards, be sure that you understand the reporting impact of updating existing account groups.

You can check if an existing company was created using the Service Industry QuickStart template. Go to the Company Information page (Company > Setup tab > Configuration > Company). On the Accounting tab, the QuickStart template field shows what template was used, if any.

10. Track changes for subledger transactions in your audit trail

Gain full visibility of transaction history with the ability to track changes to transactions posted from subledgers.

What you need to do to configure the feature:

  • Go to General Ledger > Setup tab > Configuration.
  • In the Accounting settings section, select Enable auditing of transactions posted from subledgers.

Bank transaction dating:

Determine how bank feed transactions are dated by setting the time zone on the bank account in an Early Adopter program.

AP Automation

This remains early adoption phase and we hope to have more updates on this soon.
